TRIPS BOOKING CONDITIONS
You can process a booking via our website or directly email us at info@sherpaecoadventure.com.
The Sherpa Eco Adventure trip prices are in USD. You can book our trips in USD; however, when booking your trip with us and paying in your local currency, the exchange rate set by Nepal Rastra Bank on the same day will apply when converting your local currency into USD.
- Please ensure that you submit a completed booking form, a copy of your passport, and a 30% deposit of the total trip cost. The deposit will be spent on hotel reservations, transportation, trekking permits, and so on.
- Your 30% booking payment is nonrefundable.
- The rest of the payable amount can be paid in cash or by USD credit card on your arrival day or during a pre-trip meeting with our office or hotel.
- When using a credit card for payment, you'll incur additional banking charges.
LAST MINUTE BOOKING
We will consider accepting last-minute bookings up to 15 days before the trip departure date if there is space available on the provided date and full payment is made at the time of booking.

CREDIT CARD PAYMENT
We accept Visa, MasterCard, and American Express card payments, and a 3.5% card processing fee will be applied. Please note that we are not responsible for this bank transaction fee, and it is not included in the total cost of the trip.
TRIP CANCELLATION POLICY
If, for any reason, you decide to cancel your reservation after making it with Sherpa Eco Adventure, please be aware that the company must receive written notice of your cancellation. Following receipt of the cancellation request, the company will determine the applicable cancellation charge.
In the event of a trip cancellation, clients are eligible for a refund if they have made full payment for the trip.
The full payment cancellation will be refunded. The cancellation fee will be charged as per given in the table below.

POSTPONE THE TRIP
If you need to postpone your trip to Nepal due to personal reasons, please inform us by providing written notice and specifying the new departure date. We will then transfer all reservations to the new date without any additional charges, unless there are unforeseen circumstances that prevent the change of date.
TRAVEL INSURANCE
All clients participating in any activities are required to have travel insurance. This insurance should offer comprehensive coverage, including protection against personal injury, death, medical expenses, repatriation expenses, helicopter rescue, and any other illnesses specified in the insurance package. Sherpa Eco Adventure highly advises purchasing an insurance package from a reputable travel insurance provider in your city or country.
VISA AND PASSPORT
Every client is required to possess a valid passport with a minimum validity of six months from the return date. Nepalese visas can be obtained either from the Nepalese Consulate in your country or upon arrival at Kathmandu Airport. The cost of Nepalese visas is solely the responsibility of the clients as part of their travel arrangements.

- You have the option to complete the Nepalese Tourist Visa form online. You can access the form via the Department of Immigration website. This online form remains valid for 15 days, requiring completion within that timeframe before your scheduled arrival date. Upon submission, a receipt will be sent to your email. It's essential to print this receipt and carry it with you, as it must be presented to the immigration authorities upon arrival.
INCOMPLETE TRIP
In the event that clients fail to complete the trip, regardless of the reason, we are not responsible for refunding any expenses incurred for unused meals, accommodation, or other services during the trip. Additionally, if clients engage in unlawful activities during the trip and are required to leave Nepal, we are not liable for any refunds.
DOMESTIC FLIGHT DELAY
Typically, adverse weather conditions and limited visibility in mountainous areas may result in flight delays or cancellations. In such instances, we cannot be held responsible for any additional expenses or inconveniences incurred. Considering the unpredictable nature of mountain weather, we recommend allowing for at least 1 or 2 extra days in your itinerary, particularly for treks in the Everest region, to mitigate the risk of missing your international flight. Additionally, we advise travelers to carry extra cash to accommodate unforeseen circumstances.
SAFETY AND RISK
We are dedicated to delivering exceptional services, ensuring your holidays are enjoyable and stress-free. Our highly committed and professional team strives to enhance your trip, creating unforgettable experiences. However, please note that Sherpa Eco Adventure is not liable for itinerary changes due to circumstances beyond our control, such as government restrictions, natural disasters, or flight disruptions. Some of our trips entail adventure and risk, requiring participants to assume personal responsibility for any damages, injuries, or unforeseen circumstances. The clients themselves are responsible for any additional expenses incurred during the trip.
INJURIES AND EVACUATION
Sherpa Eco Adventure Pvt. Ltd. assumes no liability for any injuries, physical ailments, or other occurrences that may arise during the journey. Additionally, our package pricing does not include personal client insurance.
HEALTH AND FITNESS
It is crucial to ensure you are in good physical and mental condition for trekking in high-altitude regions. You need to do some short hiking and some physical exercise to enhance your physical fitness before embarking on our journey. If you have any pre-existing medical issues, please inform us at the time of booking.
CHILDREN
A legal guardian must accompany participants who are under the age of sixteen.
PROMOTION
Sherpa Eco Adventure reserves the right to utilize clients' photos and videos for advertising of the trip and promotion purposes on our platforms without prior notification, while ensuring the preservation of personal privacy.
